How Do ERP Systems Work?

I am excited to be featured in SelectHub’s extremely popular and recently updated article, “How Do ERP Systems Work?“. It provides a good foundation into the world of ERP and what you’d do with an ERP system. Although most clients have an ERP system of some type, by NO means do they understand how ERP systems work and the true value of an ERP system.

Perhaps we should spend more time understanding such a critical topic. After all, an ERP system upgrade will be one of the most significant projects your company will embark upon. Although the financial commitment is substantial, the resource commitment is far greater! On the other hand, if you bury your head in the sand too long, your risk will rise to unacceptable levels and your customers’ needs will not be supported.

Naturally, since the pandemic hit, many ERP projects have come to a grinding halt because the first thought is to conserve cash. However, in surveying ERP suppliers supporting clients ranging from small and medium size closely-held businesses to private equity backed companies and large complex organizations, although there has been a slowdown, there are several clients taking the opportunity to get in front of the technology curve so that they will be ready to grow rapidly and profitably as they emerge from the pandemic. They are slowing down some areas of the project while focusing efforts on the critical functionality or areas of the business that need a technology boost. For example, we are working with a client who took the opportunity to develop an IT roadmap so that they’ll be prepared to succeed post COVID-19. One area that is of common interest is business intelligence (BI) software. If clients can slice and dice data to understand customer and inventory patterns, utilize predictive analytics to better navigate COVID-19 demand changes and support future customer needs, and develop operational dashboards to manage performance and take cost out of the business, what’s not to like? In reviewing the spectrum of available options, there are a few impressive, relatively easy-to-implement tools. Clients are interested in what will deliver immediate value.

5 ERP Selection Pitfalls

We get “too many” calls to help resolve problems associated with system upgrades and/or new system implementations.

How can some of these disasters be avoided upfront?

 

  1. Navigating ERP sharks – ERP software suppliers must be some of the most aggressive salespeople I’ve seen. Even when you are careful, they’ll likely focus more on the bells & whistles of their system rather than important details of key functionality needed to drive results.
  2. Standard functionality – Standard functionality is the downfall of ERP selection projects. In my experience, 20% of the time should be spent on standard functionality since core suppliers will have it. Reverse the order and spend 80% on unique functionality.
  3. Lopsided team – Although there will be some disciplines more interested than others in the selection project, if they decided for everyone, you shouldn’t be surprised if you end up with a great system in that particular area with the rest left to luck.
  4. Losing track of features – Although it seems obvious while sitting in the demo, it becomes amazingly difficult to figure out which feature went with which software a few days later. Note follow-up questions and compare notes immediately following the demo.
  5. Focusing solely on functionality – Don’t get lost in functionality and forget that the software supplier will be your business partner. They will make or break your success.

Evaluate ERP Systems with an Eye towards Your Supply Chain

A lot is required from an ERP system. Select and design one that aligns with your company’s critical success factors and helps your supply chain perform smoothly.

I frequently help clients select the “right” system to help them achieve their business strategy. One of the keys is to evaluate with an eye towards your supply chain. In today’s marketplace, the supply chain is often a core consideration. If we want customers to be happy, make sure your supply chain performs expertly.

In today’s Amazon-impact world, customers expect extreme service levels.  We need to anticipate their needs. Deliver rapidly. Be accessible. And the list goes on… Thus, to achieve these lofty objectives while not breaking the bank, we must create nimble and efficient supply chains – from your suppliers’ suppliers to your customers’ customers. What system functionality should be considered?

Throw best practices out the window! Many systems tout that their system has “best practice processes” and so everyone should conform to it. Not if you want to stand out from the crowd. Instead, identify your critical success factors and align with the right system to achieve endgame results. I’ve recently introduced my proprietary process ACE for just this objective.
